Renewable Energy Construction Administrative Assistant - Remote

Scope of Position: 

The Project Administrative Assistant will be responsible for the Project document control, support the on-site construction Team on construction contract compliance, and daily on-site office management.

Responsibilities:

  • Ensures that files are correct before uploading to all Project depository systems;
  • Controls Project documents in Project depository systems -database
  • Create SAP purchase requisitions for’ the Project;
  • Responsible for Project meeting minutes, sharing them to attendees within forty-eight (24) hours after each meeting for review.
  • File daily Plan of the Day (POD), and other discussion and meeting documentation as needed.
  • Update/track all equipment serial number tracking per’ location (delivery to commissioning and Hand-Over to Operations & Maintenance).
  • Update/track Requests For Information  (RFI) and report any RFI status      late, on schedule and/or critical prior to the weekly external and internal meetings.
  • Update/trac1‹ any internal or 3rd party inspection
  • Update/track Non-Compliance Notification (NCN) relating to Site Summarize NCNs in a report prior to weekly external and internal meetings.
  • Update/monitor/track specific binders for all installed equipment’s (Turbine; Transformers; Met Masts, ).
  • Update/Track Punch List items up to Substantial
  • Monitor/track site Visitors/Vendors through sign-in sheet.
  • Monitor/track all site Personal Safety Equipment (PSE), Safety supplies (Company issued hard hats, glasses, vests, etc).
  • Monitor/track all site office supplies, including Company issued equipment, e. printers, etc., order any office supplies through the Company’s Engineering & Construction Coordinator.
  • Answer phones and keep tracking records of faxes, mail, handoffs.
  • Ship and/or receive UPS packages 
  • File set up for all Turbines, O&M building, Met Masts, Substation, (computer and/or paperwork files).
  • Responsible for Monthly meeting set up — organization, issue agenda and reports two (2) days in advance, take meeting minutes/notes, lunch coordination, etc.
  • Overall provide assistance to all on-site TEAM members.

Qualifications: 

  • Administrative Assistance and Executive Administrative Assistance skills
  • Excellent phone etiquette and communication skills
  • Proficiency in Microsoft Teams and other software
  • Strong proficiency in spreadsheets
  • Strong organizational and time-management skills
  • Detail-oriented with strong clerical skills
  • Able to work independently and as a part of a team

Working Conditions: 

100% of the time is spent at a construction site office in a commercial/industrial construction environment utilizing computers and construction documentation such as plans, specifications, contracts, schedules, and other project control documents.
