Functional Role: Project Construction Coordinator (on-site)

Scope of Functional Role: 

The Project Construction Coordinator (PCC) will be responsible for supporting the pre-planning and execution for Solar, On-Shore Wind, High Voltage, and Energy Storage Projects In addition to project-support tasks, the role will support continuous improvement initiatives such as documenting and improving processes and procedures. 

Responsibilities:  

        • Ensuring that files are correct before loading to all Project depository
        • Controlling Project documents in Project depository systems – database (i.e. Firmex, Office 365, SmartSheet, Sharefile, Box, ProCore, etc.)
        • Responsible for Project meeting minutes, sharing them to attendees within forty- eight (48) hours after each meeting for review.
        • Filing daily Plan of the Day (“POD”), and other discussion and meeting documentation as needed.
        • Updating/tracking ALL equipment serial number tracking per location (delivery to commissioning and Hand-Over to Operations & Maintenance).
        • Updating/tracking Requests for Information (“RFI”) and report any RFI status – late, on schedule and/or critical prior to the weekly external and internal
        • Updating/tracking an internal or 3rd party inspection
        • Updating/tracking Non-Compliance Notification (“NCN”) relating to Site Activities and summarize NCNs in a report prior to the weekly external and internal meetings.
        • Updating/monitoring/tracking specific binders for all installed equipment’s (Solar Components; Transformers; Met Masts, etc.)
        • Updating/tracking Punch List items up to Substantial
        • Monitoring/tracking site Visitors/Vendors through sign-in
        • Monitoring/tracking all site office supplies, including Company issued equipment, i.e., printers, etc., order any office supplies through the Company’s Construction
        • Answer phones and keeping track records of faxes, mail,
        • Shipping and/or receiving UPS packages as
        • File set up for all Solar Components, O&M building, Met Masts, Substation (computer and/or paperwork files).
        • Being responsible for Monthly meeting set up – organization, issue agenda and reports two (2) days in advance, take meeting minutes/notes, lunch coordination,
        • Overall providing assistance to all on-site team

Qualifications/Experience:

        • A minimum of 6+ years’ experience in Project or administrative support. 

Skills/Knowledge/Abilities  

        • Strong organizational and communication skills, both written and verbal 
        • Strong knowledge of Documentation management. 
        • Clear understanding of project related contracts, documentation, stockholders, and administrative steps. 
        • Capability to document and report project progress accurately 
        • Focus on safety, quality, and customer service 
        • Demonstrated quality of excellent interpersonal communication skills. 
        • Highly motivated self-starter, friendly personality, team player, with ability to lead by example 
        • Computer proficiency includes SAP, Concur, Egencia, SharePoint; Visio, Excel, PowerPoint, and Word applications. 

Working Conditions: 

        • Approximately 100% of the time is spent on site at construction site office in the commercial/industrial construction environment utilizing computers and construction documentation such as plans, specifications, contracts, schedules, and other project control documents.
